Right HR solution selection ¬– key to success

Today degree of success is directly proportionate to the use of technology in an organization including success of human resources management. Managing human resources is an ongoing challenge, especially when external factors (social, political and economic events) make impact on employee productivity. HR management strategies must continually be redefined to deliver improved return on investment in human capital. HR professionals must consider use of new technologies, to tackle the external factors affecting their organisations.

HR solution selection and technology implementation is one prominent area that represents significant challenge for HR professionals globally. To ensure success of HR management, HR technology initiatives and operations, right selection of HR solution, technology and implementation at right time is extremely important. Organisations that ignore this aspect do tend to show a downward slope on the success graph.  

Most common mistake is that HR professionals settle for administrative role rather than project owner's role in HR solution selection and Implementation process, leaving most critical functionality part to be decided by other non-HR professionals like Information technology and finance.

Do your diligence on functionality requirements and then select the HR solution based on technology that suits the best to your organisation. Address gaps with customised development. This will empower you with the right HR solution and technology initiatives to achieve your organisational goals. Most organisations tend to first select technology that they deem is good but not necessarily suit them and then try to get HR solution and customise it for use.  This results in fiasco, leading to scrapping of investment made in technology and solution. Choosing the right HR solution and leveraging it effectively requires a well-thought-out strategy with a clear focus on real business results.  The HR solution selected should be effective and easy to use and one that fits the organisation's need. In order to bring about the desired outcome it is vital to follow a structured approach. 

Diligence: Identify and validate their project requirements. This involves assessing the current state, future state in terms of needs and wants, prioritise them, define and document them.

Identification: Identify HR Software System vendors who match your needs.  Create a vendor score-sheet from assessment of vendor Services and Solutions proposed through in-depth demonstrations. Matching them with documented requirement sheet and budget cost helps in ranking, short listing vendors. Thorough gap analysis helps to make provision and incorporate it in future plans. Gaps could be filled by customised development to better fit and uplift solution effectiveness.  This methodical and comprehensive process would enable an organisation to achieve a positive selection result.

Selection: Make the decision to select the best that meets your need from the shortlisted. Decision at this point of time will be easy after having put in your best efforts in the previous steps.

Implementation: Develop detailed roll out plan and t its Implementation effectively. Project tasks planning and execution schedule helps to know and track what needs to be done, who does it and when. Without good internal governance, crucial factor during implementation, you will encounter deviations from company's vision. Well thought-out and controlled execution would lead to successful implementation on-time that would have a measurable positive impact on an organisation's efficiency and profitability. The challenges to make right selection can be overcome by adopting right process knowledge. Following this structured approach your organisation would never have to settle for less than what was absolutely required, ensuring return on investment and achieving the organisation goals. Ignorance to this process knowledge can cause a debacle.
